  • We have an exciting new opportunity for a switchboard operator to join us working in out Taunton office. 

    The Switchboard Operator is the first point of contact for many clients, prospective clients and third parties contacting the firm. The role is responsible for delivering a professional, welcoming and efficient telephone service, ensuring all calls are handled promptly and directed accurately.

    Working closely with colleagues across all offices and practice areas, the Switchboard Operator provides an excellent client experience by managing incoming calls, responding to general enquiries and supporting the smooth day-to-day operation of the firm's communication systems.

    The role plays an important part in maintaining the firm's professional reputation by demonstrating exceptional customer service, attention to detail and a proactive approach to supporting clients and colleagues.

    While the primary focus of the role is the provision of an efficient and professional switchboard service, there may be from time to time a need to provide some Front of House support to help ensure a seamless client and visitor experience across the office.

    Day to day, you’ll be successful in this role by:

    The responsibilities are wide ranging and include the following:

    Telephone and Call Management
    • Manage incoming calls through the firm’s switchboard system in a professional, courteous and efficient manner.
    • Accurately transfer calls to the appropriate individual, team or office.
    • Take clear and concise messages and ensure they are relayed promptly.
    • Assist callers with general enquiries and provide information where appropriate.
    • Monitor and respond to voicemail and overflow calls as required.
    Client Service
    • Deliver a consistently high standard of customer service to clients, contacts and colleagues.
    • Create a positive first impression of the firm through professional telephone manner.
    • Handle sensitive or confidential calls with discretion and professionalism.
    • Manage difficult or urgent calls calmly and effectively, escalating when appropriate.
    Communication and Administration
    • Maintain up-to-date knowledge of the firm's people, departments and office locations.
    • Support internal communication by assisting colleagues with call routing and contact information.
    • Ensure contact directories and relevant records are kept accurate and up to date.
    • Provide administrative support to the Facilities team as required.
    Operational Support
    • Escalate technical issues affecting telephone systems to appropriate support teams
    • Contribute to the continuous improvement of switchboard and client contact processes
    • Assist with reception and wider office services activities during periods of absence or increased business need.
    Front of House Support
    • Provide occasional support to Front of House team during planned absences, peak periods, events or business continuity situations.
    • Welcome visitors and clients in a professional and courteous manner, ensuring a positive first impression of the firm.
    • Assist with visitor registration and sign-in procedures in accordance with firm procedures.
    • Support meeting room bookings and assist with basic meeting room preparation where needed.
     
    This role is right for you if:
    • Experience of operating a multi-line telephone system or switchboard essential.
    • Proven experience in a similar role, preferably in a law firm or legal environment preferred.
    • Excellent verbal communication and listening skills.
    • Professional and confident telephone manner.
    • Strong customer service skills with a client-focused approach.
    • Ability to remain calm and composed when handling high volumes of calls.
    • Strong organisational skills and attention to detail.
    • Competent IT skills, including Microsoft Office applications.
    • Ability to work effectively both independently and as part of a team.
    • Understanding of confidentiality and data protection requirements in a professional services environment.
